Data retention
This page explains which data retention options you can control in the Company Portal, and how driver data is handled today.
Document retention
The Profile page has a Document retention section, with a Retention window (days) field and a Preview retention report button. The idea behind it is to show which uploaded documents fall outside a retention window you choose, so you can review them.
This section is not available yet:
- A retention window you enter isn't saved, so retention stays off for your company.
- The section never deletes documents. The report is a preview only.
Driver data today
Your company can't choose how long driver data is kept yet. Today RushHour sets these periods for the whole platform, and they apply to every company:
- Driver location history — location points older than the platform's retention period can be deleted permanently.
- Deleted drivers — when a driver is deleted, whether by your staff in the portal or by the driver from the Driver app, their personal details can be permanently erased once a waiting period has passed. You can restore a deleted driver only before then; erased details can't be brought back.
Contact RushHour support for the current periods before you rely on keeping a driver's location history or on restoring a deleted driver.
Driver data retention
A Driver data retention section will be added to the Profile page, so each company can decide for itself how long driver data is kept. The starting values described below apply only once that section is available. Until then, driver data is handled as described in Driver data today.
When it arrives, the section will have these options:
- Prune driver GPS history — will start turned off, so that once the section is available, location history is kept unless you choose a limit. Turn it on only if your own policy or a legal obligation requires one, and choose how many days to keep.
- Honour a driver's own deletion request — will start turned on. When a driver deletes their own account from the Driver app, their personal details are permanently overwritten after a waiting period.
- Erase a driver deleted by your staff — will start turned off. With this option off, a driver your staff deletes in the portal will be archived and can be restored. Turn it on to also erase the driver's personal details after a waiting period.
- Wait before erasing (days) — how long a deleted driver can still be restored before their personal details are erased.
Permanent deletion can't be undone, so the portal will ask you to confirm before you turn it on.
Retention and public tracking links
Public tracking links are not available yet. When they arrive, they will not change what is kept or for how long, and the retention settings on this page will not change what a link shows: a tracking page displays at most the vehicle's latest known position, never a history of where it has been. Keeping more driver location history does not put more of it on a tracking page, and pruning it does not remove anything a customer could have seen.
