Email templates and branded emails
RushHour sends emails for your company to your customers, your drivers and your team — invoices, quotes, bills of lading, invitations, password resets and more. Settings → Email Templates is where you see every one of those emails, decide how they look, and change their wording.
Branded emails
Branded emails are on by default. With them on, every email RushHour sends for your company uses a layout built around your company:
- Logo — the logo from Settings → Profile at the top of every email. Without a logo, your company name is shown instead. See Company profile.
- Accent colour — the colour of the band at the top of the email and of its links.
- Contact details — your company address, phone and email at the bottom of every email, followed by any Footer text you add, such as your office hours.
Turn Branded emails off to send emails in the previous plain format. Templates you have customised keep your wording either way.
Edit an email
The templates are grouped by who receives them: Customers, Drivers, Team, and Sign-in & security. A Customised badge shows which ones your company has changed.
- Select a template.
- Change the Subject and the Content. Only the message itself is edited here — the header with your logo and the footer are added automatically.
- To add details that change from email to email, such as an invoice number or a link, click a placeholder. It is inserted where your cursor is, and filled in when the email is sent.
- Check the Preview, which shows the email with sample data and your company details, with or without your branding. If the preview lists placeholders it doesn't recognise, those will be empty in the real email.
- Save your changes.
Other actions on a template:
- Send test email to me sends the email, with sample data, to your own address only.
- Reset to default removes your company's wording and goes back to the standard template.
Who can change email templates
The Email Templates page is shown to users with the Email templates - view/edit email templates permission, which Company Admins have by default. Users who can edit the billing email and footer text (Billing - edit billing email/footer text) can open the page to review the templates, but can't change them. See Roles and permissions.
