Use the documents library
Select Documents in the sidebar to open your company's documents library. The figures at the top show how many documents you have, how many are ready, still processing or failed, how many are waiting to be imported, and how much storage they use.
Add documents
Upload files
Select Upload, or drag files onto the drop area on the page.
- You can upload up to 10 files at a time, each up to 25 MB.
- Supported files include PDF, Word, Excel, CSV and images.
Files you attach in the AI assistant chat are added to the library too.
Create a document in the editor
Select New and choose New PDF doc, New Word doc or New Markdown doc. Give the document a name, write it in the editor — with headings, lists, tables, links, colors and more — and select Save & close. You can change the format while you edit.
To change a document created this way later, choose Edit content from its menu.
Documents RushHour adds for you
When RushHour generates certain documents — for example an invoice, a bill of lading, labels, a quote or an order sheet — a copy is saved to the library automatically. These documents are marked as system-generated, and their details show which record they were generated from and when they were sent.
What happens after an upload
Every new document is processed in the background. Its Status moves through these stages:
| Status | Meaning |
|---|---|
| Uploaded | The file has arrived and is waiting to be processed. |
| Processing | RushHour is reading the file. |
| Ready | The text has been extracted, and the document has a type, a summary, and suggested categories and tags. |
| Failed | The file couldn't be processed. Hover over the status to see why, and use Reprocess to try again. |
RushHour suggests one of these document types: Order Sheet, Manifest, Packing List, Purchase Order, Price Sheet, Shipping Document, Invoice, Customer Document or Other. Documents written in the editor have the type Created in editor.
A Needs review badge means the reading didn't go well — for example the type couldn't be recognised or no text was found. Open Edit extracted text to correct the text; RushHour uses your correction for search and imports.
Find documents
Use the search box at the top of the page to search by document name, tags, categories and summary. Tick Search in content to search the text inside the documents as well.
Narrow the list with the filters:
| Filter | What it does |
|---|---|
| Categories, Tags | Documents with the categories or tags you pick. |
| Document types | Documents of the chosen types. |
| Status | Uploaded, Processing, Ready or Failed. |
| Source | Where the document came from — for example uploaded on the Documents page, attached in the AI assistant chat, or generated by RushHour. |
| Date range | When the document was added. |
| Archived | Shows archived documents. |
| Needs import | Ready documents of a type that can be imported and haven't been imported yet. See Import documents with AI. |
| Needs review | Documents whose reading needs checking. |
Views
- Switch between Table and Cards. Cards group documents into folders by category.
- In the table, use Columns to show or hide columns.
- To keep a combination of filters and search, select Save view and give it a name. Saved views and column choices are stored in your browser.
You can also ask the AI assistant to find a document for you.
Work with a document
Open a document's menu to see what you can do with it:
| Action | What it does |
|---|---|
| Details | Opens a side panel with the AI summary, source, size, number of pages, upload date, tags and categories, the extracted content, linked records, the activity history and, for generated documents, where they came from and when they were sent. |
| Preview | Shows PDFs, images and other supported files in the browser, with a link to download the original. |
| Prints the document, where the file type allows it. | |
| Send by email | Emails the document as an attachment. Enter one or more recipients, optional Cc, a subject and an optional message. |
| Import with AI | Imports records from the document. See Import documents with AI. |
| Rename, Edit tags, Edit categories | Keeps the library organized. |
| Edit extracted text | Corrects the text RushHour read from the file. |
| Archive / Unarchive | Hides a document from the normal list without deleting it, or brings it back. |
| Reprocess | Reads the file again. |
| Delete | Removes the document permanently. This can't be undone. |
Linked records lists the orders, customers, quotes, invoices and other records connected to the document — for example records created by an import — with links to open them.
Work with several documents
Select documents in the table to act on all of them at once:
- Archive or Unarchive.
- Tags — add or remove tags on every selected document.
- Set categories — replace the categories of every selected document.
- Compare — with exactly two documents selected, shows the lines added and removed between their texts.
- Delete — removes the selected documents permanently.
Bulk actions require the Manage documents (edit/archive/delete) permission.
