Import documents with AI
Many documents you receive describe work that also has to exist in RushHour — a purchase order that should become an order, or a price sheet that should become rates. Import with AI hands such a document to the AI assistant, which reads it and prepares the records for you. Nothing is saved until you have reviewed the result and confirmed it.
Importing requires the Import with AI permission.
What can be imported
Import with AI is offered for documents with the status Ready and one of these types:
| Document type | What the AI assistant helps you import |
|---|---|
| Order Sheet, Purchase Order | Orders, keeping PO numbers, line items, delivery windows and special instructions. |
| Manifest | Deliveries as orders — you choose one order per delivery, a single multi-drop order, or orders grouped by customer. |
| Packing List | Load units (inventory) against their orders. |
| Price Sheet | Your pricing and rate cards. |
| Customer Document | Customers and contacts in your CRM. |
The Needs import filter and count on the Documents page show Ready documents of these types that haven't been imported yet.
Import a document
- On the Documents page, open the document's menu and select Import with AI.
- The AI assistant opens with a message about the document. Answer any questions it asks, such as how deliveries should be grouped.
- Review the records the assistant proposes, and change anything that isn't right.
- Confirm the import.
After an import, the document's Linked records show the records that were created, and its activity history records the import.
Prepared imports
When you import the same kind of document again and again — for example a customer's weekly order sheet in the same layout — RushHour remembers the layout. If you turn on Auto-prepare for that layout under AI Knowledge, then once the layout has been used several times RushHour prepares the import as soon as a matching document is processed.
Such documents show a Prepared badge. Select it, or Review prepared import in the document's menu, to see the pre-filled records. As with any import, nothing is saved until you confirm.
AI Knowledge
Select AI Knowledge on the Documents page to see what the AI has learned from your documents, and to correct it.
Learned pricing rules
Pricing information the AI picked up from imported price sheets, such as lane prices, surcharges, fuel surcharges, discounts, accessorials and minimum charges. Each rule shows how confident the AI is in it. You can filter by kind and customer, and:
- Suppress a rule to keep it for reference while the AI stops using it, and Reactivate it later;
- delete a rule so the AI forgets it permanently.
A document that taught the AI pricing rules shows a link to review them.
Learned layouts
The document layouts the AI remembers from your confirmed imports, with how often and when each was last used. For each layout you can:
- turn Enabled off to stop the AI from pre-filling imports with it;
- turn Auto-prepare on or off;
- delete it so the AI forgets it permanently.
Viewing AI Knowledge requires View documents; changing or deleting what the AI learned requires Manage documents (edit/archive/delete).
