Pickups and deliveries

Every quote and order is made up of stops. A pickup is where goods are collected; a delivery (also called a drop-off) is where they are dropped. An order can have several of each, and the items collected at the pickups are divided among the deliveries.

You manage stops on the Order Details tab of the order workspace.

Add a stop

  1. Open the quote or order. For an existing order, select Edit first.
  2. On the Order Details tab, select Add Pickup or Add Delivery. You can add a delivery once the order has at least one pickup.
  3. Fill in the stop (see the fields below).
  4. Save the stop. On a new stop, the save button offers three choices:
    • Save and add New — save and start another stop of the same kind.
    • Save and add item — save and go straight to adding an item to this stop.
    • Add items later — just save the stop.

To discard a new stop, select Remove. To empty all the fields of a stop and start again, select Clear All. Clearing keeps the stop's items, attachments and date and time, and an appointment request that has already been sent.

Stop fields

FieldWhat to enter
Company NameThe business at this address. Start typing to pick from your saved companies and their locations.
Reference NumberA reference for this stop, such as a pickup or delivery number.
Pickup Date and Time / Delivery Date and TimeThe date, and either a time window (morning, noon or evening) or a specific time.
Zip code, Address, Address 2, CountryWhere the stop is. You can choose one of the company's saved addresses, or select BA to use the customer's billing address.
Driver InstructionsInstructions for the driver, such as a gate code, dock number or "call on arrival". See Driver instructions.
Contact Name, Contact Email, phoneThe person to contact at this stop. Select Add Contact to add a new contact here.

Temporary locations

Select Temporary Location for a one-off address, such as a job site, that you don't want saved as a new company in your records.

Blind shipping

Select Blind Shipping when the pickup details must not appear on the bill of lading and other shipment documents. Then enter what should be shown instead: a Blind Customer Name, a Blind Address, and who the shipment is For.

On a saved blind stop, select the eye icon to switch between the real details and the details shown on documents.

Collect on delivery (COD)

On a delivery, turn on Delivery COD when the driver must collect a payment. Enter the Amount, the payment Type, and optionally an Email. Card payments are only available once the billing customer is set up to accept payments; cash, check and ACH can always be recorded.

Appointments

When a location only receives or releases goods by appointment:

  1. On the stop, turn on Appointment Required. The status changes to Request. Turning it on also clears the stop's date and time, because they aren't agreed yet. They stay empty until the appointment is set.
  2. Check the Email Address for appointment. If the stop's company has email addresses marked for appointments in your customer records, RushHour suggests them. If it has none, RushHour suggests the order customer's appointment email addresses instead. When nothing is suggested, enter the address yourself.
  3. Open the appointment settings and select Request. The request email is sent when you save the stop, asking the location to reply with a date and time.
  4. When the location replies, RushHour fills in the stop's date and time from the reply, and the reply appears in the order's Inbox tab. Then either:
    • select Approve to accept the date and time, or
    • select New Appointment to ask for a different time. Enter the From and Till date and time you can offer, and select Send Request. The location can still reply with a different date and time if the range doesn't suit them.
  5. If the location gives you a confirmation code, enter it in the confirmation code field.

The stop shows where the appointment stands, for example Requested while you wait for a reply and Accepted once you have approved it.

Driver instructions

Driver Instructions are notes meant for the driver about one stop. Keep them separate from the order's private notes, which are for your team.

  • Enter them in the stop form, or select Driver Instructions in the stop's ⋮ menu to read and edit them without opening the whole stop.
  • On a saved stop, hover the info icon next to the address to read them. If the saved address you picked for the stop has location details, a second info icon shows those. Location details can't be edited on the stop form.
  • On the Dispatch board, a stop with instructions shows a warning icon; select it to read them. You can also edit them from the stop's menu there.
  • They are included in the message when you use Copy to Driver.

On a saved stop, open the ⋮ menu. The actions depend on the stop and your permissions:

When an order has exactly one pickup and one delivery, both with items, you can reverse them: open the ⋮ menu in the header and choose Swap Address, then confirm.

Warnings on stops

A stop shows warning icons when something still needs your attention. Hover an icon to see what it means. Some icons can also be selected to deal with the issue; others are only there to inform you.

Warnings that depend on routes, such as Allocate Items, appear once the stops are on a route. Before that, see the unallocated quantity badge on the pickup's items.

A HUB badge marks a stop that is a warehouse the goods pass through rather than a customer address. A HOLD badge marks a delivery that is on hold.
