Statuses and lifecycle
A quote or order has two kinds of status:
- The status says what the record is: a draft, a quote, an order, or a closed order.
- The trip status (orders only) says where the work is on the road. You don't set it yourself — RushHour works it out from the order's stops on drivers' routes.
Both are shown as badges in the order header and in the lists.
Statuses
| Status | Meaning | Listed under |
|---|---|---|
| Draft | A quote that has been started but not yet saved as a quote. | Quotes |
| Quote | A priced offer to a customer. | Quotes |
| Order | Confirmed work. | Orders |
| Closed | Finished work. | Orders |
| Deleted | Removed from the lists. | — |
Trip statuses
| Trip status | Meaning |
|---|---|
| Unassigned | None of the order's stops are on a driver's route yet. |
| Dispatched | The stops are assigned to a route and the driver hasn't picked up yet. |
| On Route | The driver has picked up. |
| Complete | The goods have been delivered. |
In the Orders table, the small bars above the trip status show each stop separately, so you can see at a glance which stops are done.
Work with quotes
Email a quote
Open the quote and select Email Quote. A preview of the quote opens. Choose the recipients — RushHour suggests addresses the customer's quotes were sent to before — add a message if you want, and send. You need the Email Quotes permission. A draft can't be emailed; save it as a quote first.
Approve a quote
When the customer accepts, open the quote and select Approve Quote, then confirm. The quote becomes an Order and moves to the Orders list, ready to be dispatched. You need the Approve Quote permission.
To approve several quotes at once, select them in the Quotes list and choose Approve Quotes from the ⋯ menu.
Save options
The ⋮ menu in the header of an open record offers:
| Action | What it does |
|---|---|
| Save as Draft | Save the record as a draft. Available until the order's stops are assigned. If the order has an invoice, RushHour warns you before continuing. |
| Save & Close | Orders only. Save and close the order's tab. |
| Calculate | Save and recalculate the price. |
Close and invoice an order
When an order is finished, close it and bill it.
Automatic closing
When a driver or dispatcher confirms the last stop of an order and all its items have been delivered, RushHour closes the order automatically.
Close & Create Invoice
To close an order yourself while it is on route or dispatched:
- Open the order and open the ⋮ menu.
- Choose Close & Create Invoice (or Close & Update Invoice if the order already has one).
- Confirm.
Closing this way marks any stops that aren't done yet as done, using the current time, then closes the order and creates or updates its invoice. You need the Close and Create Invoice permission.
On the Orders Board view you can also drag a card from Complete to Closed to close it.
Create or update the invoice without closing
Open the ⋮ menu and choose Create Invoice, or Update Invoice when the order already has one. You need the Create Invoice permission. When the order has an invoice, Open Invoice in the header takes you to it in Accounting.
If the invoice is already paid or partly paid, RushHour tells you before changing it.
Whether invoices are also created automatically depends on your company's invoice settings. See Invoices.
Undo, revert and delete
Undo an order
Undo Order reverses the completed stops of a closed or completed order, so the work can be done again. A closed order goes back to the Order status. You need the Undo Order permission. Where to find it:
- For a closed order, use the ⋮ menu of the open order, or the row menu in the Orders list.
- For an order whose trip status is Complete but that isn't closed yet, use the row menu in the Orders list.
To undo a single stop, use Undo Pickup or Undo Delivery in that stop's menu.
Revert an order to a quote
Revert to Quote turns an order back into a quote. It is available only while none of the order's stops are assigned to a route, and not for closed orders. If the order has an invoice, RushHour asks what to do with the invoice first. You need the Revert to Quote permission.
Delete a quote or order
Delete a record from the list's row menu, or from the gear menu for several selected orders. A Company Admin can also delete from the ⋮ menu of an open record. If an order has an invoice, RushHour warns you and explains what happens to the invoice. You need the Delete Quote or Delete Orders permission.
Repeat an order
Repeat Order creates a new order from an existing one. The new order copies the customer, stops, items and charges. Every stop on the new order is dated today, and each keeps its original time of day. The gap between the original stop dates is not kept, so check and adjust the stop dates after repeating. Notes, the PO number and attachments are not copied. Find Repeat Order in the list's row menu, or on the Order Details tab of an open order. You need the Repeat Order permission.
