Create and edit a quote or order
Quotes and orders are created and edited in the same workspace. The difference is where you start:
- To prepare an offer for a customer, go to Quotes and select New Quote.
- To book confirmed work straight away, go to Orders and select New Order.
Create a quote or order
- Go to Quotes or Orders and select New Quote or New Order. A new workspace opens.
- In the left panel, choose the customer. Start typing the customer's name and pick it from the list. If the customer doesn't exist yet, select New Customer to add it.
- Under Company Contact, choose the person at the customer you are dealing with. The contact's email and phone fill in. To add someone new, open the list and select + Add new contact. If you change the email or phone, select Save under the contact before you continue.
- Fill in the order details in the left panel:
- Date — the order date.
- Shipment Type — the kind of shipment. Your company's shipment types can affect the price.
- PO # — the customer's purchase order number.
- Tracking Num — a tracking or reference number, for example from another carrier.
- Notes — private notes for your team.
- Attachments — files related to the order.
- Select Add Pickup. This button becomes available once a customer and a shipment type are chosen. Fill in the pickup and save it. See Pickups and deliveries.
Saving the first pickup saves the record:
- A new order is saved as an order.
- A new quote is saved as a Draft. Select Save in the header to turn the draft into a quote. You can't email or approve a draft.
Then add the items, the deliveries and anything else the shipment needs, and check the price. See Items and Price an order.
The order workspace
When you open a quote or order, the workspace has three parts.
Header
The header across the top shows:
- The order or quote number. If you can edit the record, select the number to change it. Numbers must be unique.
- The priority icon. Select it to switch between low, regular and high priority.
- Badges for the source (where the record came from), the status, the trip status, and Sub-order when the order belongs to a parent order.
- The main buttons, such as Edit, Save, Email Quote, Approve Quote and Open Invoice, and the ⋮ menu with more actions. See Statuses and lifecycle for what each action does.
Left panel
The left panel holds the customer and contact, the order details listed above, and the price. See Price an order.
Tabs
The middle of the workspace has these tabs:
| Tab | What it contains |
|---|---|
| Order Details | The pickups and deliveries, with their items. This is where you add and edit stops. |
| Package Details | A table of every item on the order: quantity, package type, the pickup and delivery it travels between, dimensions and weight. |
| Attachments | The files attached to the order. |
| Audit log | The history of changes to the order. |
| Notes | Private notes and notes printed on the invoice. |
| Related Orders | The parent order and sub-orders, when there are any. |
| Inbox | Messages exchanged with the customer about this order. |
See Notes, messages and history for the last four tabs.
A Tracking tab is being prepared. It will hold the public tracking link for the order — create it, copy it, email it to the customer and revoke it — plus how often the link has been opened. See Tracking links.
Right panel
On a saved order, the right panel shows a map of the order's route and the drivers its stops are assigned to. From here you can assign drivers, remove them, and select View in Dispatch to see the order on the Dispatch board. Use the arrow on the edge of the panel to hide or show it.
See Assign an order's stops from the order for the steps.
Edit a quote or order
- Open the quote or order from its list.
- For an order, select Edit in the header. You need the Edit Orders permission (Edit Quote for quotes).
- Make your changes. To change a stop, use the ⋮ menu on the stop and choose Edit.
- Select Save, or Cancel to discard your changes.
Closed and deleted orders can't be edited.
If the order already has an invoice, RushHour may ask whether to update the invoice with your changes when you save.
