Card payments at the stop
Card payments at the stop are not available in the Driver App yet. This page describes how they are planned to work; names of buttons may change before they are released, and this page will be updated with the app version that brings them.
Today the app records cash only — see Collecting payment.
When your company turns this on, you can take the customer's card payment for the amount due at a stop, right in the app, or send the customer a link so they pay on their own phone. Your company decides whether drivers may do either — see Driver app settings.
When you can take a card
The Card option in the stop's payment step can be selected when:
- your company lets drivers charge cards at the stop,
- your company's payment provider is set up, and
- there is an amount to collect at the stop — a collect-on-delivery amount, or the balance of the order's invoice.
Otherwise Card shows Coming soon, and when your company has turned card payments on, the app says why it isn't available — for example, that card payments are not set up for your company yet.
The app shows the amount due and who it is from. Cash shows Not available when the stop has no collect-on-delivery amount, because there is nothing a cash payment can be recorded against.
You can also select Pay by card next to the cash button on the stop's details, outside the stop steps.
Collect a card payment
- In the stop's payment step, choose Card.
- Check the Payment amount. It starts at the amount due. For a collect-on-delivery amount you can lower it to take part of the payment; an invoice balance is charged in full.
- Enter the card details in the secure card fields, or hand the phone to the customer to type them in. Depending on your company's payment provider, you enter the card number and security code in the secure fields and the Expiration date (MM/YY) below them, or use Stripe's card field. The card details go straight to your company's payment provider; they are not stored on the phone or in RushHour.
- Select Charge card, which shows the amount, and keep the app open until it answers.
- When the payment is approved, the app shows Paid by card with the last four digits of the card, and the payment step shows Paid — or Partially paid and the remaining balance. The stop's card in your route then shows the amount as collected, and you can carry on with the stop. A proof photo is optional for a card payment.
If the secure card form doesn't load, select Reload card form.
If the card is declined, the app shows the reason — for example, that the card has expired or has insufficient funds. Ask the customer for another card or another way to pay, then try again.
If the app can't confirm the payment
If your connection drops, or the payment service doesn't answer while the payment is being made, the app doesn't know yet whether the card was charged. It shows Check payment status instead of charging again, so the customer is never charged twice. Select it to ask again. Until the payment is settled, Cash and Send payment link wait too, because the customer may already have paid.
If you submit the stop while a card payment is still unconfirmed, the app warns you first. Ask your dispatcher to confirm the payment before you collect again.
When the card is entered on a payment page
On some phones, with Stripe, the customer enters the card on a secure Stripe page that opens in the web browser instead of in the app:
- Select Open the payment page, which shows the amount.
- Let the customer finish the payment on that page. It then tells them they can return to the app.
- Come back to the app. It checks whether the payment went through.
If the page was closed before the payment was finished, select Open the payment page again.
Send a payment link
When your company allows it, you can send the customer a secure page to pay on their own phone instead:
- In the stop's payment step, or on the stop's details, select Send payment link.
- The app emails the link to the customer's address for this payment, when there is one, and opens your phone's share options so you can also send it another way. When there is no email address, share the link yourself.
- The customer opens the link and pays. The stop's payment shows as collected once the payment has gone through.
Each stop has one link at a time: selecting Send payment link again shares the same link. While a link is open, the app reminds you not to collect the same payment again if the customer pays with it. If the first link can't be used, select Create a new link and confirm — but remember that every open link can be paid.
Good practice
- Never write down a card number, photograph a card, or take card details by text message or chat.
- Let the customer type the card in themselves when they can.
- If something looks wrong — for example the amount is not what the customer expects — stop and contact dispatch before charging.
What your office sees
A card payment you take is recorded in Accounting as a card payment for the order — on the order's invoice, or as credit on the customer's account when there is no invoice yet — and a collect-on-delivery payment shows as collected. Your office can see the card's last four digits and the payment's reference, and can refund it from the Company Portal if needed.
