Cardknox card payments
Cardknox is the card payment service RushHour uses. When your company connects its Cardknox merchant account, the card payments you take in RushHour are processed through that account.
What it enables
With Cardknox connected:
- Saved cards on customers. Your team can save a customer's card on the customer's Payment tab. See Payment methods and credit.
- Charging a saved card in Accounting. When you record a payment and choose the customer's card as the method, RushHour charges the card as the payment is saved. See Recording payments.
- Card payments in the Customer Portal. Your customers can pay their invoices with a card saved on their account. See Invoices and payments.
Without it, payments can still be recorded as cash or check, and the Customer Portal tells customers that card payments aren't enabled.
Refunds and voids are not handled in RushHour. Manage them in your Cardknox account.
What you need
- An active Cardknox merchant account.
- Two keys from that account:
- the public key — the key used by Cardknox's secure card-entry fields in the browser (Cardknox calls this the iFields key);
- the private key — the API key RushHour's server uses to save cards and run charges.
- The Company Admin role in RushHour.
Connect Cardknox
- Go to Settings → Integrations and find the Cardknox row.
- Select Install.
- Enter the Public Key and Private Key. Both are required.
- Select Save.
The row now shows View and Uninstall. Select View at any time to see the saved keys or to replace them. The private key is shown masked; the public key is shown in full.
Try it with a small real transaction: save a card on a test customer, record a small payment by card, and check that the charge appears in your Cardknox account. RushHour does not test the keys when you save them, so a wrong key only shows up when the first card is saved or charged.
How card payments flow
- A card is saved on the customer — by your team on the customer's Payment tab. The customer can then see it, and choose their default card, in the Customer Portal.
- A payment is recorded against an approved invoice, by your team in Accounting or by the customer in the Customer Portal.
- RushHour asks Cardknox to charge the saved card for that amount.
- If Cardknox approves the charge, the payment is recorded on the invoice. If it declines, the payment is not recorded and RushHour shows the reason.
Once a card payment has been charged, its amount can no longer be changed in RushHour.
Collecting card payments on delivery
A delivery can be marked Delivery COD so the driver collects payment when the goods are handed over. Card payments at delivery are different from invoice payments: they are requested on the billing customer's own Cardknox account, not your company's.
A Company Admin sets this up per customer: open the customer's Payment tab and select Cardknox to show the Accept Payments panel. From there:
- Invite emails the customer an invitation to register with Cardknox. The customer needs an accounting email address for this.
- Alternatively, select Configure API keys manually, enter the customer's own Cardknox public and private keys, tick Authorized to accept payments and select Save. RushHour checks the private key with Cardknox before saving it.
The customer's status reads Not invited, Pending or Authorized. Until it is Authorized, card isn't offered for that customer's COD deliveries — cash, check and ACH can still be recorded. See Collect on delivery (COD).
Turn Cardknox off or remove it
| Action | Where | What happens |
|---|---|---|
| Uninstall | The Cardknox row | Turns card payments off after you confirm. The keys stay saved, so you can install again without re-entering them. |
| Delete | The row's ⋮ menu | Removes the saved keys from RushHour after you confirm. |
Either way, RushHour can no longer save or charge cards, and the Customer Portal stops offering card payments. Payments already recorded stay in Accounting.
Common issues
A customer's card can't be saved, or every charge fails. Check that the public and private keys come from the same Cardknox account and are active, then save them again under View.
A charge was declined. The message RushHour shows comes from Cardknox. The payment was not recorded, so nothing needs undoing in RushHour. Ask the customer for another card or record a different payment method.
Customers say they can't pay by card in the Customer Portal. Check that the Cardknox row is installed, and that the customer has a card saved on their account. Customers may see an Add card option in the Customer Portal, but for now save the card for them on the customer's Payment tab. See Saved cards.
Card isn't offered for a COD delivery. The billing customer isn't authorized to accept payments yet. Check the Accept Payments status on the customer's Payment tab.
