Forwarding email into RushHour
Every RushHour company can have its own email address. Emails sent or forwarded to it arrive in RushHour, so documents that reach you by email — manifests, purchase orders, rate confirmations, price sheets — don't have to be downloaded and uploaded by hand.
This page explains how email-in fits with the rest of RushHour and how to set up forwarding. Every setting on the Inbound Email page is described in Inbound email address.
What happens to an email
When an email reaches your RushHour address:
- The email appears in your Inbox. See Inbox email.
- Each accepted attachment is added to your Documents library and shown on the email. RushHour reads the document, suggests what kind of document it is, summarizes it and marks it for review. See Documents library.
- Company admins get a Documents notification in the notification center when attachments were added.
Nothing is imported automatically. A person reviews each document and decides whether to import it — for example into orders or price lists with the AI assistant.
What you need
- Permission to see and change company profile settings: Profile tab - View company Info/profile to see the address, and Profile tab - Edit company Info/profile to change its settings.
- View inbox to read received emails, and View documents to see the attachments in Documents.
- If you want mail forwarded automatically, access to the settings of the mailbox that receives the documents today.
Get your address
- Go to Settings → Inbound Email (in the Setup group).
- Your Forwarding address is shown at the top. Select Copy.
The address is created the first time someone opens this page, and it accepts mail straight away. You can change the part before the @ sign to something recognisable, such as your company name.
Choose how mail reaches RushHour
| Approach | Best for | How |
|---|---|---|
| Forward by hand | Occasional documents | Forward the email to your RushHour address from any mailbox. |
| Automatic forwarding from your own mailbox | A shared mailbox such as a documents or orders address on your own domain | Set a forwarding rule in your email provider so incoming mail is copied to your RushHour address. |
| Give partners your RushHour address | Partners who can send to any address | Share the address directly. Consider limiting senders (below). |
Set up automatic forwarding
- In your email provider, create (or choose) the mailbox that should feed RushHour — for example a documents address on your own domain.
- Add your RushHour forwarding address as a forwarding destination, following your provider's instructions. The Inbound Email page includes step-by-step instructions for Gmail / Google Workspace, Outlook / Microsoft 365 and other providers.
- If your provider sends a confirmation email to the forwarding address first, open it in your RushHour Inbox to find the code or link.
- Optionally, enter that mailbox under Your company address on the Inbound Email page, so your team knows which mailbox feeds RushHour.
You never give RushHour a password or access to your mailbox — your provider simply forwards copies of the mail.
Control what is accepted
- Allowed sender domains — accept mail only from the domains you list, such as
example.com. Leave the list empty to accept mail from anyone. - Accept inbound email — turn it off to ignore everything sent to the address.
Mail that is ignored is not delivered to RushHour, and the sender isn't told.
Stop receiving email
- To pause, turn off Accept inbound email.
- To retire the address — for example if it has been shared too widely or attracts spam — select Regenerate address. The old address stops working immediately.
- Remember to remove any forwarding rule you set up in your email provider.
Limits
- Up to 10 attachments from each email are added to Documents. Any beyond that are skipped.
- Attachments follow the same rules as uploading files to Documents: supported file types such as PDF, Word, Excel, CSV and images, up to 25 MB each. Other attachments are skipped and not kept, but the email itself still appears in the Inbox.
Common issues
Nothing arrives. Check that Accept inbound email is on, that you are sending to the current address (renaming or regenerating it retires the old one), and that the sender's domain is on Allowed sender domains if you use that list.
Your email provider's forwarding confirmation never shows up. If you use Allowed sender domains, the confirmation is filtered too. Add your provider's domain to the list while you set up forwarding, or empty the list for a moment.
The email is in the Inbox but an attachment is missing. The attachment was of an unsupported type, too large, or beyond the first 10 attachments, so RushHour skipped it and didn't keep a copy. Get the file from the sender or from your own mailbox and upload it to Documents yourself.
Partners still send to an old address. Once an address is renamed or regenerated, mail to the old one is not delivered. Give partners the new address and update your forwarding rules.
