Importing with AI

The AI assistant can read a file — a spreadsheet, PDF, scan or email attachment — and turn it into records in RushHour. It never imports on its own: it prepares a preview, you review and correct it, and only then is anything saved.

Importing requires the Import with AI permission.

You can also start an import from a document that is already in your library, or one that arrived by email — see Documents.

What you can import

ImportFrom a file such asWhat it creates or changes
OrdersA manifest, load list or order spreadsheet.New orders with their pickups, deliveries and items.
PricingA rate sheet.Your pricing model's pallet × mileage grid, mileage surcharges, pallet discounts, charge types and lane rates.
International pricingA cross-border rate sheet.International rate cards. See International pricing and currencies.
CRMA customer list or company details.New customers, or updates to existing customers' details, contacts and addresses.

InvoiceAn invoice PDF or scan created outside RushHour.A new invoice for the matching customer.
Driver documentsA driver's license scan. The license details on the matching driver.

Running an import

  1. Attach the file in the chat — or attach one from your Documents library — and tell the assistant what to do, for example "Import these orders" or "Load this price sheet for Acme".
  2. The assistant reads the file and replies with a plan. Click Review & import to open the review canvas.
  3. Review the rows. You can:
    • Edit values directly in the table.
    • Untick rows you don't want to import.
    • Check the Issues column and the badges on rows — for example Unknown customer, Ambiguous customer, May not geocode, Unknown item type or Missing field.
  4. Click Import (or Import pricing). RushHour checks everything again as it saves.
  5. The canvas shows the result — how many records were created, updated, skipped or failed — with links to open the new records. A summary is also posted to the chat.

If some rows failed, fix the problem and click Retry failed. To start over with a fresh preview, click Re-run import in the chat.

A preview stays valid for a limited time. If it expires, re-run the import from the chat.

Options for order imports

Choose how rows become orders under Grouping:

  • One order per row
  • One order, multiple drop-offs
  • One order per pickup
  • Group by customer
  • Group by destination

The canvas tells you how many orders the import will create.

Options for CRM imports

Choose the Mode: Create only, Update existing, or Create & update. Updates only change the fields found in the file — existing details are never blanked.

Resolving customers

When a customer name in the file matches several customers, or none, the canvas asks you to decide for that name:

  • Use existing: pick the right customer.
  • Create Prospect: add the company as a new prospect.
  • Skip these rows.

The assistant never guesses which customer you meant.

Drafting an order in the chat

You don't need a file to create an order. Describe it — for example "Create an order for Acme: pick up tomorrow at 9am from our Newark warehouse, deliver 3 pallets to Chicago" — and the assistant drafts it in the same review canvas. You can ask it to recommend a price first. Check the draft, then confirm it in the canvas to create the order.

Remembered layouts

When you import files with the same layout several times, RushHour remembers the settings you used. The next time, the canvas tells you Applied your usual settings for this layout. Click Reset to run the import without them.
