Actions and confirmations

Most of what the assistant does only reads data or moves you around the app. When a request would change something, the assistant prepares the change and asks you to confirm it first.

What happens without asking

These run as soon as you ask, because they don't change your data:

  • Looking things up, answering questions and running reports.
  • Opening pages and records, and applying filters to lists.
  • Filling in a form on the screen for you to review and save yourself.
  • Changing your own display settings, such as theme or language.

Action cards

For requests that update or delete records, send messages, touch money, or make changes in a connected system, the assistant shows an action card instead of acting straight away. Examples include creating a route, re-optimizing a route, changing a customer's details, and exporting an invoice to QuickBooks.

An action card shows:

  • A summary of what will happen.
  • A label that tells you whether the change can be reversed: Undoable, Safe to re-run or Irreversible.
  • Details — expand it to see exactly what will change, including before and after values where available.
  • If something is missing, Needs info before it can be applied and the fields the assistant still needs.

Then choose:

ButtonWhat it does
ApplyMakes the change. The card shows Applied, or Couldn't apply with the reason.
CancelDiscards the change. The card shows Cancelled.

After a change is applied, the card may include links to open the records it changed.

Undo

Some applied changes — such as a route re-optimization — offer Undo on the card for a limited time. If the undo window has passed, the card tells you so; ask the assistant to revert the change instead.

Expiry

An action card is only valid for a short time. If you wait too long, it shows Expired — ask the assistant again, and nothing is changed.

Permissions

When you click Apply, the change is made with your own permissions. If you are not allowed to make that change, the card shows You don't have permission to apply this — ask an administrator.

If the same action was already confirmed somewhere else — for example, in another browser tab — the card shows Already confirmed elsewhere and the change is not made twice.

Creating new records

Requests that only create a new record may run without an action card. Some creation flows do ask you first:

  • Orders — when you describe an order in the chat, the assistant drafts it in a review canvas for you to check and confirm. See Drafting an order in the chat.
  • Routes — the assistant proposes a new route on an action card.

Whatever the assistant creates, check its reply and open the new record to review it.

QuickBooks exports

The assistant's QuickBooks Online export action for invoices and payments is available only when an administrator turns on Allow the AI assistant to export to QuickBooks in the QuickBooks integration settings. Every export still needs your confirmation on an action card. See QuickBooks.

Keeping a record

Every conversation, tool the assistant used, and action you confirmed or cancelled is recorded. See AI activity and usage.
