Invoices and payments
Invoices shows the invoices on your account, what is still outstanding, and the payments already applied.
Find an invoice
The list shows each invoice's number, the order it belongs to, its items, the date it was submitted, its status, the total amount and the remaining balance.
| Status | Meaning |
|---|---|
| Approved or Open | Issued and waiting for payment |
| Overdue | Past its due date and not fully paid |
| Partly paid | Some of the amount has been paid |
| Paid | Fully paid |
To narrow the list:
- Search — use the search box in the top bar, for example with an invoice or order number.
- Apply Filters — filter by Date range, Invoice Type (With Order, Without Order, Custom or Default), Status or Invoice ID, then select Apply now.
- Create Filter — in the same panel, save the current filters as a tab next to All, so you can come back to that view in one click. Saved filter tabs are kept in the browser you created them in.
Open an invoice
Select an invoice, or choose View in its row menu, to open it in its own tab. The invoice shows who it is billed to, the shipment it covers, its line items and fees, the totals and the Balance Due.
At the top of an open invoice you can:
- Pay Invoice — shown while there is something left to pay (see below).
- Preview Invoice — see the invoice document as your carrier sends it.
- Print (printer icon) — print the invoice document. To keep a PDF copy, choose your browser's Save as PDF option in the print dialog.
- Previous invoice and Next invoice — move through your invoices.
Once a payment has been applied, the Payment History section of the invoice lists each payment with its payment number, date, method, amount and reference.
To see or change the cards saved on your account from an invoice, select Edit next to Customer Payment Options. See Saved cards.
Pay an invoice
- Open the invoice and select Pay Invoice, or choose Add Payment in the invoice's row menu in the list.
- Check the Amount. It starts at the amount still owed.
- Set the Payment Date.
- Choose the Payment Method (see the table below).
- Optionally add a Reference # and a Memo.
- Select Add Payment.
| Payment method | What happens |
|---|---|
| Cash or Check | The payment is recorded against the invoice with the date and reference you entered. Use the reference for details such as a check number. |
| A saved card | Your card is charged through your carrier's payment provider, and the payment is recorded against the invoice. A card charge cannot be undone from the portal, so check the amount before you submit. |
Saved cards appear in the list only when a card is saved on your account. See Saved cards.
When paying by card ends in an error, no payment is added to the invoice. In rare cases, though, the card may already have been charged. Check with your carrier before you try again, so that you are not charged twice.
You can also pay from an order: open the order, go to Billings, and use Pay. It becomes available once the order has been invoiced.
Pay several invoices at once
If you are making one payment that covers more than one invoice:
- In Invoices, open the Add Payment menu at the top of the page and select Apply Payment to Invoice.
- Enter the Payment Amount, Payment Date, Payment Method and, optionally, a Reference Number.
- Tick the invoices the payment covers. The list shows the invoices that still have a balance, with the earliest due date first. Ticking an invoice fills in its full remaining balance as its Amount to Apply — the payment is not split across the invoices for you.
- Adjust the Amount to Apply on the ticked invoices so that together they add up to no more than the Payment Amount. No invoice can take more than its own remaining balance. The Payment Summary shows how much you entered, how much is applied, and how much is left.
- Select Apply Payment.
If the amounts you apply add up to more than the payment, the portal shows The applied amount exceeds the payment total. and Apply Payment stays unavailable until you lower them.
If part of the payment is not applied to any invoice, the portal tells you how much and asks you to confirm before submitting. That amount is recorded as credit on your account.
