Giving customers portal access

This page is for your own team — the staff of the trucking or logistics company that runs RushHour. It sums up how your customers get into the Customer Portal and what your team sees once they use it. The step-by-step instructions live in the Company Portal guide: Customer Portal access.

How it works

  • You invite your customers. Customers cannot open a portal account on their own; every sign-in starts with an invitation from your team, or from a colleague of theirs who already has access.
  • One sign-in per person. Each sign-in belongs to one customer in your Customers list. Everyone who signs in for that customer sees the same orders, invoices, tracking and support conversation, and nothing that belongs to your other customers.
  • One email address, one sign-in. An email address that already has a RushHour sign-in cannot be invited again, so use a different address for that person.
  • Only a Company Admin can invite customers and manage their sign-ins.

Invite a customer

  1. In the Company Portal, open the customer and select Invite to Portal — or, in the Customers list, tick exactly one customer and select Invite.
  2. In the Customer Portal Access window, invite one or more of the customer's existing contacts, or invite someone new by email.
  3. Each person receives an invitation email with a link to set their own password.

From the same window you can later resend an invitation, set a new password, disable or enable a sign-in, or delete it. Customers cannot disable or remove each other — when someone leaves the customer's company, do it for them.

Let customers invite their colleagues

Portal users can invite colleagues to their own account from Settings → Account access in the Customer Portal. This is controlled by the Invite portal users permission of the Customer Portal role, which it has by default. Remove the permission if you want to keep all invitations with your own team — see Roles and permissions.

Turn on the AI assistant

The Customer Portal's AI assistant is off until you switch it on. In the Company Portal, go to Settings → Profile, select Edit, tick Enable the AI assistant in the Customer Portal, and save. See Company profile.

What reaches your team

When a customer…You see it…
Submits an orderAs a quote waiting for your approval. Once you approve it, the customer can no longer edit it.
Sends a chat message, reports a problem on a shipment or asks for a better priceOn the customer's Inbox tab — see Customer messages.
Records a payment or pays by cardAs a payment against the invoice. Card payments need your card payment account connected — see Cardknox card payments.
