Orders and quotes
Orders lists every order on your account, from drafts you are still preparing to shipments that have been delivered. There is no separate area for quotes: an order you submit waits for your carrier's approval inside the same list.
Statuses
Each order carries two statuses, shown as coloured labels in the list and at the top of an open order.
Order status — where the order is in the approval process:
| Status | Meaning |
|---|---|
| Draft | You saved the order but have not submitted it. You can keep editing it. |
| Quote | You submitted the order and it is waiting for your carrier to approve it. You can still edit it or withdraw it. |
| Order | Your carrier approved the order. It can no longer be edited from the portal. |
| Closed | The order is finished. |
Trip status — where the shipment itself is:
| Status | Meaning |
|---|---|
| Unassigned | No driver has been assigned yet. |
| Dispatched | The shipment has been assigned for delivery. |
| On Route | The shipment is under way. |
| Complete | The shipment has been delivered. |
The dashboard cards Draft, Quotes, Unassigned, Dispatched, On Route and Completed count your orders in each of these stages.
Find an order
- Approval filter — at the top of the list, choose All, Approved (orders that are approved or closed) or Not Approved (drafts and submitted orders).
- Search — type in the search box in the top bar.
- Apply Filters — narrow the list by Date range, by pickup or delivery Location, or by trip Status, then select Apply now. Clear All removes the filters.
- Sort and page — select a column heading to sort, and use the controls under the list to move between pages.
Select an order to open it in its own tab.
The row menu
Each order in the list has a menu with the actions that fit its stage:
| Action | Offered |
|---|---|
| Track Live | Once the shipment has been dispatched. It opens Tracking. |
| View Details | Once the shipment has been dispatched. |
| Order Sheet and BOL | Once the shipment has been dispatched — see Order documents and attachments. |
| Repeat Order | Always — see Repeat an order. |
| Edit Order | While the order is not yet approved. |
| Cancel Order | While the order is a draft, submitted or approved — see Cancel an order. |
Export orders
Tick the orders you want, then select Export. The portal downloads a spreadsheet of the selected orders.
Create an order
- In Orders, select New Order.
- In the panel on the side, check the order details. Your company is filled in for you, with your primary contact and a shipment type already chosen. Change the Customer contact for the order, the Shipment Type or the Date if you need to, and add any Notes for the driver. If you use your own numbering, you can type a number next to Add Order Number at the top; otherwise leave it empty.
- On Order Details, select Add pickup and fill in the pickup:
- the Address — start typing a street, city or ZIP code, and pick from the matching addresses, which include your saved locations,
- the company name and the contact person's name, email and phone number at that address,
- the pickup date, and a time — morning, noon, evening, or a specific time,
- an optional reference number, and location details that help the driver find the place.
- Save the order. You can save the pickup form, or use the buttons at the top of the page:
- Save as Draft keeps the order as a draft so you can finish it later.
- Submit Order sends it to your carrier for approval.
- Discard throws the new order away.
The order is created and opens so you can finish it:
- Add what you are shipping. On the pickup, select Add Item and enter the item type, quantity, size and weight, plus any special instructions.
- Select Add delivery for each delivery address. Add delivery becomes available once the order has been saved.
- Choose which delivery each item goes to by allocating the item quantities to the delivery stops. If some items are left unallocated when you save, the portal asks you to confirm.
- If the order is still a draft, select Submit for approval.
While you are filling in an order, the side panel shows an estimated price that updates as you go, when one can be calculated for your route. If no price is available yet, your carrier's team will confirm it.
On a smaller screen the side panel is hidden while you create the order, so the order starts with the preselected contact and shipment type. Once the order has been saved, select Edit on it to change them.
If you submit an order without any items, the portal warns you first: your carrier cannot price or plan an order without knowing what is being shipped. Saving it as a draft and adding the items first is usually the better choice.
Open an order
An open order shows its order number, its statuses and its actions at the top, a summary panel on the side, and these tabs:
| Tab | What it shows |
|---|---|
| Order Details | The pickup and delivery stops, in route order |
| Package Details | The items on the order and where each one travels; View & Track follows a package once a driver is assigned to its stop |
| Attachments | The order's paperwork and files — see Order documents and attachments |
| Billings | The order price and payment state; Pay becomes available once the order has been invoiced |
| Activities | A history of what happened to the order, which you can filter to delivery updates, package changes or holds |
| Agent Assigned | Who is handling the shipment once it has been dispatched |
| Related Orders | Any parent order or sub-orders linked to this one |
Use Previous order and Next order in the More actions menu (⋮) to move through your orders without going back to the list.
Edit an order
You can edit an order while it is a Draft or a Quote.
- Open the order and select Edit.
- Make your changes, then select Save. Cancel asks before discarding unsaved changes.
You can also work directly on the Order Details tab without entering edit mode: add pickups and deliveries, and use the menu on each stop to edit the stop, change its date and time, add address instructions, or remove it.
Once your carrier approves an order, the portal shows Order Approved and the order becomes read-only. If something needs to change after that, contact your carrier through Support.
Withdraw a submitted order
If you submitted an order and want to change your mind, open it, select More actions (⋮) and then Withdraw from approval. The order goes back to being a draft and leaves your carrier's approval queue. You can submit it again later.
Ask for a better price
If you were quoted a lower price elsewhere, open the order and select Compare Pricing in the side panel. Enter the competitor's price and company name, add anything else that helps, and select Submit for Review. Your request is sent to your carrier as a message about that order, and they reply in Support.
Repeat an order
To ship the same thing again, you can repeat an existing order:
- From the list — open the order's row menu in Orders and select Repeat Order. The copy is created straight away, without a confirmation step.
- From an open order — select Repeating order at the top of the Order Details, Activities or Billings tab and confirm. The portal then offers View Order so you can open the copy.
The new order has the same pickups, deliveries and items, dated today. Notes and the PO number are not copied, and neither are attachments.
The status of the new order depends on the order you repeat:
| You repeat | The new order |
|---|---|
| A Draft | Is a draft. You can edit it and submit it when ready. |
| A submitted order (Quote) | Is already submitted and waiting for your carrier's approval. You can still edit or withdraw it. |
| An approved (Order) or Closed order | Is already approved. It goes straight to your carrier without an approval step and cannot be edited from the portal. |
Repeating an approved or closed order creates an approved order, even if the confirmation message talks about a new draft. If that copy is not what you wanted, you can cancel it until work on it starts — see Cancel an order. If you want to review or change the details before your carrier sees them, create a new order instead.
Cancel an order
You can cancel an order from its row menu in the list, from Recent Orders on the dashboard, or from More actions (⋮) on the open order. Select Cancel Order, then Yes, cancel order to confirm.
| Order | Can you cancel it online? |
|---|---|
| Draft or submitted (Draft, Quote) | Yes |
| Approved (Order) and not started | Yes |
| Approved, and at least one stop has already been completed | No |
| Closed | No |
When an order can no longer be cancelled, the portal tells you so. Contact your carrier instead. A cancelled order disappears from your lists; if you cancelled one by mistake, ask your carrier to restore it.
