Charge types and additional charges
A charge type is a fee you can add on top of an order's price — for example liftgate, residential delivery, a failed delivery attempt, or waiting time. Your list of charge types is your company's accessorial catalog. When a charge type is added to an order, a stop or an invoice, it becomes an additional charge on that order.
Managing your charge types
Go to Settings → Charge Types (in the Setup group).
The list shows each charge type with its Type (System or Regular), Price per unit and properties. Click a row, or choose Edit in its ⋮ menu, to change it. Click Add Charge Type to create one.
| Field | What it means |
|---|---|
| Name | The name shown on orders and invoices. |
| QB Item Name / QB Account | The QuickBooks item and account names written for this charge when you export invoices to an IIF file for QuickBooks Desktop. |
| Price per unit | The price of one unit of this charge. |
| Applicable to Stop? | The charge can be added to an individual pickup or delivery stop. |
| Waiting time? | This is your waiting time (detention) charge. Its price is the hourly rate. See Waiting time. |
| Attempt? | The charge is used for a delivery or pickup attempt. |
| Enter Amount? | Instead of using a fixed price, the amount is entered when the charge is used. |
| Overridable Price? | The price can be changed each time the charge is added. |
Charge types you add here are created with Applicable to Stop? turned on. You can turn it off later by editing the charge type, unless it is a System charge type.
Only one charge type can be your waiting time charge, and only one can be your attempt charge. While another charge type already has Waiting time? or Attempt? turned on, that option is unavailable.
How a charge's amount is calculated
An additional charge costs its Price per unit multiplied by the quantity added. If the charge type has Overridable Price? turned on and someone entered a different price, that price is used instead.
System and Regular charge types
Use the ⋮ menu on a charge type to control where it can be picked:
- Set System (Order) hides the charge type from the list of additional charges you can add to an order's stops.
- Set System (Invoice) hides it from the fee list in the invoice editor.
Use Unset System (Order) or Unset System (Invoice) to make it available again. System charge types cannot be deleted.
Deleting charge types
Use Delete in a charge type's ⋮ menu, or tick several charge types and choose Delete from the menu above the list. System charge types in your selection, and selected rows that are not visible on the current page or filter, are left out and not deleted.
Customer-specific additional charges
Each customer can have their own Additional Charges list, with prices that differ from your company catalog. Open the customer in CRM and go to the Additional Charges tab.
When you work on an order's invoice, the fee list offers the additional charges of the customers on that order's stops. When you create a new charge from the invoice editor with Create New, the Add to option lets you save it to your company settings, the billing customer, or the customer of a particular pickup or delivery. See Adding fees.
Waiting time
Waiting time (detention) is the time a driver spends at a stop beyond the free time you allow. RushHour bills it using:
-
The free waiting time, set under Settings → Billing → Waiting Time. You set it separately for each way an order can be priced:
- Classic and Custom — a number of free minutes.
- Pallets (Pricing Model) — free minutes by pallet-count range. Click Add range to add a range; each range must start above the previous one.
The free time for the order's price type is used when waiting time is entered or confirmed for a stop in the Company Portal. When a stop has no free time recorded — for example, because its waiting time came from the driver app, or the order's price type has no free time set — the invoice uses the Classic free minutes instead.
-
The waiting time charge type — the charge type with Waiting time? turned on. Its Price per unit is the rate per hour.
The billable waiting time for a stop is its recorded waiting time minus the free waiting time. For example, with 60 free minutes and a rate of 60 per hour, a stop where the driver waited 90 minutes bills 30 minutes, which is 30.
When RushHour creates an invoice for an order, it adds a waiting time line for each pickup or delivery stop that has arrival and departure times and recorded waiting time. If the waiting time is within the free time, the line's amount is 0. If Auto-billing under Settings → Billing is set to Apply automatically and has already added a waiting time charge to a stop, that stop gets no separate waiting time line, so it is not billed twice. You can also add or correct waiting time on the invoice itself — see Adding waiting time.
