Locations and contacts

Locations

A customer's Locations tab lists the addresses you work with for that customer — their offices, warehouses, stores or job sites. When you add a pickup or delivery stop to an order for this customer, their saved locations are suggested as you type the address, so you don't have to enter the same address twice.

Add or change a location

  1. Open the customer and select the Locations tab.
  2. Select New Location, or open an existing location and select Edit location.
  3. Fill in the details and select Save.
FieldNotes
Location titleRequired. A short name your team will recognise, such as "Main warehouse". Each title can be used only once per customer.
AddressRequired, with country, state, city and zip code. The same address can't be saved twice for one customer.
Phone NumberOptional phone number and extension for the location.
Location DetailsFree text, for example the gate to use or the dock number.
PipelineProspect or Customer.

Instead of typing the address, you can paste a link to the place from a map app, or enter its latitude and longitude, and let RushHour fill in the address fields. If an address is already filled in, you're asked before it is replaced.

To remove a location, open it and select Delete location.

Contacts

The Contacts tab lists the people you deal with at the customer. Contacts can be chosen on the customer's orders and quotes.

Add or edit a contact

  1. Open the customer and select the Contacts tab.
  2. Select Add Contact, or open a contact and select Edit contact.
  3. Fill in the details and select Save.

A contact has a first and last name, a contact number and a cell number (each with an optional extension), an email address with its email types, and a location. Every contact needs at least a phone number or an email address. RushHour warns you if the phone number or email already belongs to a different customer, or if an identical contact already exists.

The primary contact

One contact is the customer's Primary Contact. To change it, open another contact and select Set Primary Contact.

The primary contact matters when you remove other contacts: it is where orders, quotes and email types are moved so that nothing is left without a contact. For that reason the primary contact itself can't be deleted — make someone else primary first.

Delete a contact

When you delete a contact, RushHour shows how many orders and quotes use it.

  • If the contact isn't used anywhere, it is simply removed.
  • If it is used, those orders and quotes must be reassigned to the primary contact, and any email types the contact held move to the primary contact too.
  • If the customer has no primary contact yet, set one before deleting a contact that is in use.

Normalize contacts

Normalize Contacts reduces a customer to a single contact — the primary one. Before anything changes, a preview shows how many contacts will be retired and how many orders and quotes will be moved. Contacts that are in use have their orders and quotes moved to the primary contact; contacts that aren't used are simply retired.

Retired contacts are removed from the list and can't be restored from the Contacts tab, so check the preview before you confirm.
