How RushHour fits together
RushHour connects three groups of people around the same shipments: your office team, your customers and your drivers. Each group has its own application, but they all read and update the same records, so everyone sees the same order, the same stops and the same statuses.
| Who | Application | Typical work |
|---|---|---|
| Office team (dispatch, sales, billing, management) | Company Portal | Quote and create orders, plan routes, follow deliveries, invoice and record payments, manage settings. |
| Customers | Customer Portal | Place orders, follow their progress, download documents, view and pay invoices. |
| Drivers | Driver app | Work through their routes stop by stop and record what happened at each pickup and delivery. |
The life of a shipment
1. A request becomes a quote
A shipment starts as a request for transport. It can come in two ways:
- Your team enters it in the Company Portal under Quotes or Orders: the customer, the pickup and delivery stops, the items being moved, and the price.
- The customer submits it from the Customer Portal. A submitted order arrives in the Company Portal as a quote that waits for your team's approval.
Something that has been started but not submitted is saved as a draft. A quote carries a price for the customer and can be emailed to them.
2. The quote is approved and becomes an order
When the customer agrees, someone on your team uses Approve Quote. The quote becomes an order: work that your company has committed to carry out.
3. Dispatch plans the work
In Dispatch, dispatchers assign each order's stops to routes. A route is an ordered list of stops for one driver to work through. Stops that are not on a route yet wait in the unassigned list until someone places them.
4. The driver picks up and delivers
The driver sees the route and its stops in the driver app and completes them one by one. At each stop the driver records the details your company asks for — for example photos of the goods and the recipient's signature. Your company decides which steps are required in Settings → Driver App.
When the order's stops are placed on a route, its trip status moves from Open to Assigned. As the driver completes pickups and deliveries, it moves to In Transit and finally Delivered. The office follows this on the dispatch board and the order itself, and the customer follows it in the Customer Portal. When a driver can't complete a stop, the office can record it as a failed attempt and plan it again.
A proof of delivery document for each order, which your team can download or email to the customer.
5. The order is invoiced
RushHour creates invoices from orders. In Settings → Billing → Create Invoices your company chooses whether an invoice is created automatically (when the order is created, or when it is completed) or only when someone creates it manually, for example with Close & Create Invoice on the order.
An invoice starts as a draft. When it is correct, someone approves it — an invoice has to be approved before it can be paid. Invoices can be emailed to the customer straight from RushHour.
6. You get paid
Payments are recorded in Accounting with Add Payment, or across several open invoices at once with Add Bulk Payments. Customers can also view their invoices and pay them from the Customer Portal. If your company uses QuickBooks Online, invoices and payments can be sent there as well — see Integrations.
7. Drivers and carriers are paid
A payouts workspace in Accounting for recording and settling what your company owes its drivers and outside carriers for their routes.
Statuses at a glance
An order has a status that says where it is in its life, and a trip status that says where the freight is.
| Order status | Meaning |
|---|---|
| Draft | Saved, but not yet submitted as a quote. |
| Quote | A proposal waiting to be approved. |
| Order | Approved work that is planned or under way. |
| Closed | Delivered and finished. |
| Trip status | Meaning |
|---|---|
| Open | Nothing is on a route yet. |
| Assigned | On a route, but nothing has been picked up yet. |
| In Transit | At least part of the freight has been picked up, and not everything is delivered yet. |
| Delivered | Everything has been delivered. |
