Users, roles and permissions

Everyone on your team signs in to the Company Portal as a user. Each user has one or more roles, and each role carries a set of permissions — the individual rights to see or do something, such as creating orders or approving quotes. Together they decide which pages each person sees and which actions they can take.

Managing users

Users are managed in Settings → Users. The list can be filtered by role, and the Disabled Users switch shows users who have been disabled.

Adding a user

  1. Select Add User.
  2. Choose the user's role. To give someone more than one role, use the + button under the role to add another (up to six).
  3. Enter their first and last name and email address, and any phone or address details you want to keep.
  4. Save. RushHour emails the new user an invitation with a link to set their password.

User actions

Open a user's action menu in the list for these actions:

ActionWhat it does
View / EditSee or change the user's details and roles.
Disable / EnableDisabling blocks the user's access without deleting them. Enabling restores it.
DeleteRemoves the user.
InviteSends the user a new invitation. This replaces their current password with a temporary one and signs them out, so they have to set a new password from the link in the email. Use it for someone who hasn't finished setting up their account, for example when their first link has expired. For someone who already uses RushHour, use Reset Password instead.
Reset PasswordEmails the user a link to set a new password, and signs them out.
Set PasswordSets a new password for the user directly (you can auto-generate one), and signs them out.
Change PasswordChanges your own password. Shown on your own row.

Roles

These are the built-in roles, with the names shown when you add a user:

RoleUsed for
Company AdminThe people who run the account. The first user of a new company has this role.
Company DispatcherDispatch and operations staff.
Company SalesSales staff.
Company BillingBilling staff.
AccountingAccounting staff.
Customer PortalLogins for your customers' staff. Don't give this role to your own team — customer logins are created with Invite to Portal on the customer, or by a customer's existing portal users inviting colleagues.

A user's roles belong to their user account. If the user can switch between companies, they have the same roles in each of them.

Who can manage users

Some actions require the Company Admin role, whatever other permissions a user has:

  • deleting users;
  • sending another user a password reset, or setting their password;
  • inviting customers to the Customer Portal and managing their portal logins.

Adding users, editing them (including their roles), and disabling, enabling or re-inviting them are controlled by the Users tab - view/edit/add users permission. When a company is created, only the Company Admin role has it.

Permissions

A permission is a named right in one area of the Company Portal. Some examples, with the names RushHour uses:

AreaExample permissions
QuotesCreate new Quote, Edit Quote, Email Quotes, Approve Quote
OrdersCreate Orders, Edit Orders, Delete Orders, View BOL, Create Invoice, Close and Create Invoice, Place hold on order/delivery
DispatchView Unassigned, Assign/Unassign Orders, Edit/Delete/Create Route, Send BOL
CustomersCreate customers, Delete Customers, Export/Import
DriversCreate/Edit Drivers, Delete Drivers, Enable/Disable drivers
OutsourceView Outsources, Add/Edit outsource, Delete Outsource
AccountingView Invoices and Payments, Add/Edit payment, Send QB, Email Invoice/Payment, Download data
DocumentsView documents, Upload documents, Import with AI
InboxView inbox, Send email
DashboardManage dashboards
SettingsUsers tab - view/edit/add users, Fleet tab - View fleets data, Billing - view details, Drivers settings - view details, Activity log - view all users, AI usage - view usage

How permissions are applied

  • Per company. The permissions of each role are set separately for each company. The same role can allow different things in two companies.
  • Combined across roles. A user with several roles can do anything that at least one of their roles allows.
  • Admins start with everything. When a company is created, the Company Admin role is given every permission. Other roles have only the permissions granted to them in your company.

What a missing permission looks like

  • Menu entries for areas you can't view — such as Quotes, Orders, Inbox or Documents — are hidden.
  • Actions you aren't allowed to take are refused with an Access denied message.
  • Some details are hidden rather than refused. For example, drivers' sensitive personal details are only shown to users with Drivers settings - view details.

Changing what a role can do

The Roles and Permissions entries in the settings menu on the Users page are not available yet. To change which permissions a role has in your company, contact RushHour.

Customer logins

Your customers' staff sign in to the Customer Portal, not the Company Portal. A customer login only works with that customer's own records, and has its own small set of permissions, such as inviting colleagues to the portal. See the Customer Portal guides and Data and security.
